A checklist for heavy vehicles

The "Truck / Bus" category arrives ready in the shop, carrying the points a passenger car does not have: air brakes, tyres per axle and the tachograph, alongside the fluids and diagnostics that apply everywhere. Anything else you check you add to the list, and it stays for every following vehicle.

To AADE the same choice is transmitted as "Truck" or "Bus" as applicable, two of the seven values in the closed list.

A fleet: many vehicles, one customer

A haulier with twelve trucks is one customer with twelve histories. The client record keeps the vehicles under the company, and a search by plate opens that vehicle’s history: what was done, when, with which part and at what cost.

Reports show revenue and margin per customer, so you know what a large fleet actually leaves you when the time comes to agree terms.

Wholesale invoicing and the 3rd moment

When the customer is a company, the document is an invoice and the transaction is wholesale. At the 3rd client-list moment the counterparty’s VAT number is mandatory, and it is filled in from the customer record you already keep.

If the vehicle leaves unfinished for a partner workshop or another of your branches, the record is completed as off-site provision. A vehicle returning later needs a new record, as the decision specifies.

The catalog is thinner on heavy vehicles

For cars and two-wheelers the catalog carries generations and engines from specialist sources. For trucks and buses no equivalent free source exists, so coverage comes from public registries and is thinner.

In practice, make and model are typed in where they are missing. Nothing blocks: the job, the client list and the tax document all work from the plate.

The digital client list for heavy vehicles

Maintenance and repair of "other motor vehicles" (codes 45.20.21 and 45.20.23) are in the annex to A.1057/2025, together with painting and body repair for the same category. All four reporting moments apply.

One exception matters directly to this trade: repair of a part or component that arrives at your premises without the vehicle — an engine, or a concrete mixer drum — is exempt, because there is no registration plate to record.
