AADE digital client list: what it asks for, and when

Since 1 July 2025 Greek repair shops and car washes must record every vehicle that comes in and transmit it to AADE. Below are the four submissions the decision asks for, what changes between trades, and what happens when the connection drops.

What it is and who it covers

The Vehicle Digital Client List is the obligation to record every vehicle you take in, in real time, and send it to AADE — along with what you did to it and which document it was charged on. It was introduced by decision A.1057/2025 and works alongside the myDATA e-books and digital goods movement.

The sectors the decision names: vehicle repair and maintenance shops, body shops, businesses fitting alarms, audio systems and instruments, vehicle washes, parking facilities, and vehicle rental businesses. Workflow Repair covers repair shops today (including body shops, instrument fitters and tyre shops) and car washes.

The four reporting moments

The decision asks for four submissions in a specific order. When the client list is kept in a separate tool, the last three have to be remembered by hand, often hours after the car has left.

What changes between a repair shop and a car wash

The client-list type differs by trade, and with it the list of service categories. A repair shop declares "with parts", "with the customer’s parts", "without parts" or "warranty compensation". A car wash declares "service per price list" or "service by agreement", and the warranty option does not appear in its list at all.

Some actions are defined on only one side too: off-site provision, where a car leaves unfinished for a partner shop, applies to repair shops alone. Workflow Repair records the business type once and then limits the options to those AADE accepts for it.

What happens when there is no connection

The decision provides for it: on a lost connection you set the corresponding flag and the real date and time of the vehicle’s entry, in UTC. The exit time is always filled in by AADE and cannot be declared after the fact.

In practice, intake should not wait for the transmission. In Workflow Repair the record is written to your own system first and transmitted after; anything that did not go through is retried automatically, and whatever is still pending appears in a list.

The cost of entering it twice

Tools that sell only the client list cost a few euros a month and do exactly one job. What weighs is not the subscription but the double entry: you type the plate twice, the charge a third time, and you carry the receipt’s MARK across by hand to close the 4th moment.

When the client list is kept inside the flow of the work, the recording happens once. You open a job or a pass, the quote is approved, the receipt is issued, and all four submissions have already gone out, with their history on the same job.

What you need to get started

You need your own credentials for the myDATA REST API services, issued from myAADE, and your shop’s branch number. You enter them once in settings, test the connection, and the client list starts transmitting.

The feature works on every plan, including the free one. myDATA documents are a separate piece and start at Standard.

Answers to the usual questions

Since when does it apply?
It started as a pilot on 14 April 2025 and became mandatory for the motor trade on 1 July 2025, under decision A.1057/2025 of the Governor of AADE.
Do I need a separate application for it?
Not if your shop software covers it. AADE also provides a free application on myAADE, where you enter the plate and the charge in two systems and correlate the document by hand.
What about free work or the company’s own vehicle?
They are declared as a free service and own use respectively, with the reason for not issuing a document filled in automatically. In those cases no document correlation takes place — the same is true of warranty work at repair shops.
Do you cover vehicle rentals?
Not today. Vehicle rentals are a third client-list type with their own flow, which we have not implemented.
What if a wrong record is sent?
A record can be cancelled, and a new one can point back at the record it replaces. Every action keeps the number AADE returned, so it can be traced during an audit.
