How a repair gets paid — in one flow

The usual scene: the card terminal on one bench, the repair software on another, and the amount typed twice — once in the program, once on the EFTPOS. One wrong digit, and the end-of-day count does not balance.

In Workflow Repair the payment is a continuation of the ticket: the repair is done, you press charge, the amount is pushed to the terminal, the customer taps their card, and the transaction is tied to that specific repair. The till knows what was paid — the ticket knows how.

Viva.com terminals connected to the till

The integration uses Viva.com cloud terminals (formerly Viva Wallet): the software sends the amount to the device through Viva’s cloud terminal service — no cables, drivers or local install. You use your own Viva.com account and your own transaction terms; Workflow Repair adds no commission of its own to payments.

If you already have a Viva.com terminal, ask Viva whether your model supports the cloud connection. Enabling it in the software is a few fields in settings: connect the account, pick the terminal, done.

Online quote payment — before the customer even comes in

The quote you send the customer is not just a notification — it is an approval and payment page. The customer opens their personal link, sees what the repair includes, approves and, if you allow it, pays by card online through Viva. You see the approval and the payment on the ticket — before you pick up a screwdriver.

Fewer "I will drop by to pay", fewer devices sitting on the shelf approved but unpaid.

Cash, card, partial payment — all on the ticket

Not everything is paid with one card tap. A deposit at intake and the balance at delivery; half cash, half card; a customer leaving something on account. Every payment is recorded on the ticket with amount and method, and the outstanding balance shows clearly — at the till and on the customer’s record.

The receipt after the payment

Once the payment is recorded, the tax document is issued from the same screen: a receipt for the individual, an invoice for the company with details from the customer base. Issuing and transmission to myDATA happen through Viva Fiscal, a licensed ΥΠΑΗΕΣ provider, on Standard plans and up — with VAT calculated and the amounts already filled in from the charge.

For your specific tax obligations around terminals and documents, your accountant has the final word — the software makes sure issuing never costs you a second round of typing.

What you need to get started

A Viva.com account with a terminal that supports the cloud connection, and Workflow Repair: the POS till is available from Starter+ (€19/month) and myDATA documents from Standard (€39/month). If you have a Viva terminal, that same terminal can also sign your documents through Viva Fiscal, with no per-document charge. If you want to see the bench flow first, the free plan asks for no card — tickets, a customer base and intake photos for 30 repairs a month.

Answers to the usual questions

Which Viva terminals can connect?
Viva.com terminals with the cloud terminal capability: the software sends the amount to the device through Viva’s service, with no cables or local install. To confirm your model supports it, ask Viva.com — the connection in the software uses your own account’s credentials.
Do I need a separate till or a second program?
No. The POS till is inside the repair software: you charge from the ticket, take cash or card, and see the day’s movements in the same system. Available from the Starter+ plan.
Can the customer pay the quote online?
Yes. The customer opens the quote’s personal link, approves the repair and pays by card through Viva — the payment appears on the ticket before the work starts.
What about the receipt?
After the charge, the tax document — receipt or invoice — is issued from the same screen and transmitted to myDATA through Viva Fiscal, on Standard plans and up. The amounts and payment method are already filled in from the payment.
Does Workflow Repair take a commission on transactions?
No — the subscription is all you pay us. Card transaction fees belong to Viva.com, per your own agreement with them.
