When a repair shop needs a delivery note

The delivery note (δελτίο αποστολής) is a transport document: it accompanies goods on the move. In the day-to-day of a repair shop, the moments you usually meet it are specific — whether an obligation applies in your case is a question for your accountant:

  • You send a customer’s device to an external lab or partner for specialised work
  • You return a repaired device to the customer by courier or carrier
  • You move devices or parts between your own locations
  • You ship a device or component to a supplier — e.g. for a manufacturer warranty

What AADE’s digital dispatch tracking changes

Digital dispatch tracking means transport documents are issued digitally and transmitted to myDATA — the delivery note stops being a paper in the driver’s folder and becomes a record AADE sees before the goods move.

The rollout is phased, by business size and category of goods, and the dates have been pushed back more than once (last checked: 02/08/2026). We will not promise you deadlines — ask your accountant what applies to your business today. The practical takeaway is stable, though: whenever it reaches you, the delivery note will need to come from a system that transmits to myDATA — not from a paper pad.

How it issues in Workflow Repair

In Workflow Repair the delivery note belongs to the same document cycle as receipts and invoices: it is issued and transmitted to myDATA through Viva Fiscal, with the customer’s details from your customer base and the device from the repair ticket — no retyping.

myDATA document issuing is included in Standard plans and up, through Viva Fiscal — a licensed ΥΠΑΗΕΣ provider. There is no per-document charge and there are no document packs. Receipts, invoices, credit notes and delivery notes all live in that one cycle — one flow for everything.

Intake form ≠ delivery note

They are often confused, but they are two different things. The intake form is the agreement between you and the customer at the moment you take the device in: condition, photos, terms, signature. It is not a tax document.

The delivery note is a transport document: it issues when goods move, and it is transmitted to myDATA. A repair shop’s flow has room for both — the first at the counter, the second when the device travels. Workflow Repair issues both from the same repair ticket.

Answers to the usual questions

Do I need a delivery note when I take in a device for repair?
It depends on how the goods move — a customer bringing the device to the counter is one thing, transport by courier or shipping to an external lab another. Ask your accountant what applies in your case; this page is informational, not tax advice.
What is digital dispatch tracking?
